Position Overview

We are seeking a proactive and detail-oriented Administrative Assistant to support our IT Division leaders. In this role, you will play a critical part in maintaining smooth day-to-day operations by managing dynamic calendars, handling event logistics, supporting office management, and coordinating complex schedules.

The ideal candidate possesses exceptional time management and judgment, works seamlessly across collaborative and fast-paced environments, and stays two steps ahead of schedule conflicts and travel logistics.

Key Responsibilities
  • Calendar & Schedule Management:

    • Proactively manage, update, and resolve schedule conflicts for assigned management teams.

    • Audit calendars at least 2 weeks in advance to anticipate conflicts and adjust proactively.

    • Factor in realistic travel times between buildings/offices to optimize management efficiency and reduce unnecessary trips.

    • Ensure all associated resources (conference rooms, AV setup, video links) are properly moved when meeting times change.

    • Provide timely head-ups to leaders to help them wrap up meetings and stay on track.

    • Evenly schedule and track skip-level meetings throughout the year.

  • Travel & Event Support:

    • Provide thorough travel coordination by anticipating leader needs and organizing detailed itineraries directly on their calendars.

    • Assist with event logistics, offsite planning, catering, and food orders.

    • Track travel expenses and ensure adherence to company travel policies.

  • Office Operations & Administrative Support:

    • Support daily office management, including supply ordering, equipment monitoring, and seating request tracking.

    • Manage leader distribution lists to maintain accurate team communications.

    • Draft, format, and prepare meeting materials, correspondence, reports, presentations, and minutes.

    • Take on special projects as assigned.


Qualifications & Requirements
  • Experience: At least 2 years of administrative support or related organizational experience, preferably in a medium-to-large corporate environment.

  • Education: High School Diploma or equivalent required; Associate or Bachelor’s degree preferred.

  • Software & Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Visio) and calendar management software.

  • Key Skills:

    • Strong time management, priority management, and problem-solving abilities.

    • Excellent written and verbal communication skills.

    • Highly collaborative, adaptable, and able to work in a fast-paced environment supporting 3–5 leaders.

    • High level of discretion, sound judgment, and detail orientation.
